How to use this guide

This is the complete operating manual for Weflux. It assumes you have never used the WhatsApp Business API, a “BSP”, or any tool like Wati, Interakt, or AiSensy before. Every screen, button, and setting is explained in plain English.

Who this is for

Business owners, agents, and agencies who want to run their entire WhatsApp presence — conversations, broadcasts, automations, and contacts — from one place. No technical background is needed. Where a concept is genuinely technical (webhooks, OAuth, HMAC), we explain it the first time it appears.

From a chat app to a business channel

You already know WhatsApp the phone app. A business at scale uses something different underneath — and that difference explains almost every rule in this guide.

The app you know vs. the Business API

The green WhatsApp app on your phone is built for one person chatting with friends. It can’t safely send thousands of messages, be shared by a team, or connect to your website and spreadsheets.

The WhatsApp Business API (also called the Cloud API) is Meta’s professional version of WhatsApp. There is no app to open — instead, a tool like Weflux plugs into it and gives your whole team one shared screen. It’s what powers verified business chats, broadcasts, and automations.

API, in one line

An API is just a doorway that lets two pieces of software talk. The WhatsApp API is the doorway between Weflux and Meta’s WhatsApp network. You never see it — Weflux handles it for you.

So what is a “BSP”?

A BSP (Business Solution Provider), also called a Tech Provider, is a Meta-approved company that hosts the API connection on your behalf. Meta doesn’t hand the raw API to every small business — you go through a BSP.

Weflux is your BSP. It holds the approved connection to Meta, keeps it healthy, and turns the technical machinery into simple screens: an inbox, a broadcast button, a flow builder.

How a message actually travels

It’s two-way

When the customer replies, Meta pushes it straight back through the same path into your Weflux inbox — instantly. The technical name for that push is a webhook.

Why the rules exist

Because you’re messaging through Meta’s official channel, Meta sets the rules — the 24-hour window, template approval, opt-outs, quality ratings. Weflux doesn’t invent these; it simply keeps you on the right side of them.

The 24-hour window & templates

This is the single most important idea in the whole product. Understand it once and half of Weflux’s behaviour stops being surprising.

The 24-hour customer-service window

Meta protects people from spam with a simple rule: a business may send free, normal messages only within 24 hours of the customer’s last message. Every time a customer messages you, a fresh 24-hour timer starts. Inside that window you can type anything — answers, images, menus. Once it closes, free-form messages are blocked.

In Weflux you never have to calculate this. A coloured banner sits at the top of every chat:

  • A green “Session open — reply freely for another 16h 20m” banner means the window is open.
  • An amber “24h window closed — use a template to re-engage” banner means it has expired, and the reply box is replaced by a Send Template button.
You always start with a template

To message someone first — a brand-new lead, or a customer who’s gone quiet — you must use a template. Free typing is only for replying inside an open window.

So what is a “template”?

A template is a pre-written message that Meta has reviewed and approved in advance. Because Meta already checked it, you’re allowed to send it any time — even outside the 24-hour window, even to someone who’s never messaged you.

Templates can hold blanks called variables, written {{1}}, {{2}}, that you fill with real details (a name, an order number) at send time — so “Hi {{1}}, your order {{2}} shipped” becomes personal for each person.

The three template categories

MARKETING
Promotions, offers, re-engagement. Most expensive; needs opt-in; subject to marketing limits.
UTILITY
Order updates, receipts, reminders tied to a specific action. Cheap, approved fast, reaches anyone anytime.
AUTHENTICATION
One-time passcodes and verification codes only.
Category matters

Order updates should be UTILITY — they cost less and slip past the 24-hour window. Save MARKETING for genuine promotions. Weflux’s e-commerce template library picks the right category for you (Chapter 9).

1.5 · Permission, reputation & cost

Staying healthy — and what it costs

Three last foundations: getting permission to message, keeping your number’s reputation high, and understanding who charges you for what.

Opt-in & opt-out

Opt-in means the customer agreed to hear from you (ticked a box, messaged you first, shared their number knowingly). WhatsApp marketing is permission-based — you should only broadcast to people who opted in.

Opt-out is the reverse: if someone no longer wants messages, you must stop. Weflux handles this two ways — a per-contact opt-out toggle, and opt-out keywords (like “STOP”) that unsubscribe a contact automatically when they text them. Broadcasts exclude opted-out people by default.

Quality rating & messaging limits

Meta grades each number with a quality ratingGREEN YELLOW RED — based on how people react to your messages. Too many blocks or “report spam” taps and it drops.

Your number also has a daily messaging limit — how many new people you can message in 24 hours. New numbers start at 250/day and climb automatically (1K → 10K → 100K → unlimited) as you verify your business and send good-quality messages.

Protect your rating

Only message people who want it, keep templates useful, and honour opt-outs. A RED rating can pause your sending entirely.

What it costs — and who charges you

Here’s the part that surprises people: Weflux does not charge you per message. Meta bills your own WhatsApp payment method directly, and Weflux adds ₹0 markup. You pay Meta’s price, nothing more.

Because Meta bills you directly, you add a payment method in Meta, not in Weflux. Weflux only shows whether it’s connected and links you out to Meta’s billing page.

Your Weflux account is called a workspace (or organisation). The person who registers becomes its Admin — the owner of the whole account.

The “contact number” on sign-up is just how Weflux reaches you. It is not the WhatsApp Business number you’ll connect in step 2.3 — that can be completely different.

2.2 · A tour of the dashboard

Your home base, region by region

Everything in Weflux lives behind one dark sidebar on the left. Click an item and the main area swaps to that section — no page reloads, no getting lost.

A floating Weflux Assistant sits bottom-right on every screen. It walks you through setup with tap-to-answer buttons and hands you to a real person on WhatsApp, phone, or email when you need one.

2.3 · Go live

Connect your WhatsApp number

This is the one step that turns Weflux on. Do it in Settings → Connections, or from the “Connect your WhatsApp number to go live” banner on your dashboard. There are two paths.

Path A — One-click (recommended)

Click the green Connect WhatsApp button. Meta’s own pop-up opens (this is called Embedded Signup) and walks you through it:

Give access to your Business

Approve your WhatsApp Business account.

Pick your number & finish

Choose the number and confirm — you’re live.

Behind the scenes Weflux fetches your IDs, subscribes to your account so replies flow in, and registers the number. You type nothing technical. A “✅ WhatsApp connected!” toast confirms it.

Webhooks are automatic

Because Weflux is a verified Tech Provider, the technical “webhook” wiring is done once at the platform level. You never configure it per number.

Your plan decides how many numbers and teammates you get, and which modules are switched on. Upgrades are handled by the Weflux team — send a request from any locked feature and your account manager sets it up.

Locked vs. hidden

Two different things dim a feature:

  • Locked (padlock). Your plan doesn’t include it yet — e.g. Automation on Free. Click to request an upgrade.
  • Hidden add-on. CRM, Tasks, Calls and Migrate are switched on per-account by the Weflux team; until then they simply don’t appear.
Upgrades apply in seconds

Weflux checks your entitlements every ~30 seconds, so a newly-enabled feature lights up without you logging out and back in.

The two roles inside your workspace

Separate from the plan, each teammate has a role that sets what they can touch:

Admin — “Full access”
Everything, including connections, billing, and team management. The founder is the protected “main admin”.
Manager — “Team + reports”
The inbox plus team oversight and reporting.
Agent — “Inbox only”
Works the shared inbox and chats; can’t change settings.

The chat header, button by button

Open a chat and a row of actions appears top-right. Here’s what each one does.

📞 Call
Start a WhatsApp voice call with this customer, right in the browser (Chapter 8). Needs the customer to have allowed calls.
📄 Template
Open the template picker to send an approved message — the only way to start or re-open a chat.
👤 Assign
Hand the chat to a teammate. The first agent to reply is auto-assigned automatically.
✓ Resolve / Reopen
Mark the conversation done (drops it out of “Open”), or reopen it later.
Stage ▾
Move the contact along your funnel (New Lead → Customer). Shown as a coloured pill.

Park a chat as “waiting” when you’re expecting the customer to come back.

When it’s green, type anything. When it turns amber, the reply box is swapped for a Send Template button — because Meta only lets you re-open a closed window with an approved template (Chapter 1).

Status vs. Stage

Status (Open / Resolved / Waiting) is the chat’s workflow state. Stage (New Lead → Customer) is where the person sits in your sales funnel. Different things — you’ll set both.

j/k move between chats, Esc closes one, and Ctrl/⌘+N starts a new chat.

The bar at the bottom of a chat does far more than plain text. And when you need to reach someone first, the New Chat flow guides you.

The composer hides when the window closes

Free-form typing, attachments and menus only work while the 24-hour window is open. Once closed, you’ll see a Send Template button instead.

Starting a brand-new chat

Click the green + (or New Chat). You’ll:

Search an existing contact, or add a new phone number (pick the country code; 10-digit numbers get it added automatically).

Because it’s a first message, you must choose an approved template — Weflux reminds you of this rule right in the dialog.

1Add or import. Add one contact by hand, or Import CSV in bulk (a phone column is all that’s required). Export CSV downloads whatever your filters show.

Five ways a contact appears

You rarely add contacts by hand. They’re created automatically when: (1) someone messages your number, (2) you import a CSV, (3) you create a CRM deal with a phone, (4) a lead flows in from an integration (Shopify, Google Sheets…), or (5) you add one manually. To edit a contact deeply (tags, custom fields, stage), open their chat and use the Contact Info panel.

Tick the checkboxes to select many at once — then Send Template, Move Stage, or delete them in bulk.

4.2 · Three ways to organise

Tags, stages & custom fields

Beginners mix these three up constantly. They do very different jobs — learn the difference once and your data stays clean.

Tag

A free-form label like VIP or Urgent. A contact can hold many. Used to group and filter. You add and remove them yourself.

Stage

Where a contact sits in your funnel. A contact has exactly one at a time: New Lead → Contacted → Qualified → Opportunity → Customer → Churned.

Custom field

An extra profile detail you invent — “Company”, “Account size” — with a type (Text, Number, Date, Yes/No, URL). Defined once, filled per contact.

Where you set them up

  • Tags — create reusable, colour-coded tags in Settings → Tags; apply them from a contact’s Info panel, the Add-Contact form, or a CSV.
  • Stages — rename and recolour the seven built-in stages in Settings → Contact Stages to match your own wording.
  • Custom fields — define them in Settings → Custom Attributes; the values appear in each contact’s Info panel.
Good to know

Custom Attributes are available on every plan. Tags and Contact Stages management appears on paid plans (tags still auto-create when you import).

One person, two vocabularies — kept in sync

The CRM uses deal stages (Lead → Won/Lost); Contacts uses lifecycle stages (New Lead → Customer). Move a deal on the board and the same person’s stage updates in Contacts automatically — and vice-versa. You never maintain two lists. (Deals already marked Won or Lost are left alone.)

You can also switch the board to a sortable table view, bulk-import deals from a CSV, and export the whole pipeline.

Get the category right

Don’t label a promotion as Utility to save money — Meta will reject or re-categorise it, and repeat offences hurt your quality rating.

Don’t start from scratch

Writing templates that pass review takes practice. Weflux ships a library of ready-made ones — and once approved, sending is a two-click affair.

The e-commerce template library

Inside Integration → D2C E-Commerce → Template library is a gallery of ~18 proven templates for every order stage: order confirmation, COD confirmation, shipped, out for delivery, delivered, returns, refunds, abandoned cart.

Pick a preset

Search or filter by stage; each is pre-categorised correctly (mostly Utility).

Add your brand

Type your brand name — it fills the [BRAND] token everywhere.

Publish to Meta

One click submits it for approval. Then map it to an order event (Chapter 9).

[BRAND] vs {{n}}

[BRAND] is swapped for your brand name once, at publish time — it becomes fixed text. {{1}}, {{2}} stay as blanks filled with each order’s real details at send time.

Sending an approved template

Anywhere you send a template — the inbox, a new chat, a bulk send — the same picker appears:

Delete carefully

Deleting a template removes it from Meta too — and any campaign using it stops working. Weflux warns you before it does.

Build & send in one form

Click New Campaign for a single scrollable form. Fill it top to bottom, and there’s a final “are you sure?” with a cost estimate before anything sends.

Name it, pick the number & template

Only approved templates for the chosen number appear. A body preview shows underneath.

Map the variables

For each {{n}}, choose a contact field ({{name}}, {{phone}}), a CSV column, or fixed text.

Choose your audience

Four ways — see below. Leave Exclude opted-out contacts ticked (it’s on by default).

Test, then schedule

Send a test to your own phone first. Then Send Immediately, Schedule for later, or Save as Draft.

The campaign report

Click a campaign to open its report. Delivery and read receipts arrive from WhatsApp after the send, so the numbers keep rising for a while — the page auto-updates.

Total, Sent, Delivered, Read, Replied, Failed — click any to filter the contact table to that stage.
Delivery timeline
A chart of sent / delivered / read / replied over each day.
Why messages failed
Meta’s cryptic error codes translated into a plain reason and a “Fix:” for each.
Per-contact table
Every recipient with their status and timestamps. Search it, filter by stage, export it.
Reading the funnel

Sent left your number · Delivered reached the phone · Read = blue ticks · Replied = they messaged back · Failed = never delivered. Delivery, read and reply rates are your broadcast’s health.

Managing a live send

Pause / Resume
Stop mid-send; resume later and only the not-yet-sent contacts go out.
Retry failed
Re-send only the messages that failed — watch the Failed count drop.
Refresh stats
Recompute the numbers and backfill any late replies.

Reply Flows — auto-follow-ups

Turn a broadcast into a mini two-way conversation. Set up a Reply Flow so that when someone replies to this campaign — optionally only if their reply contains a keyword like “YES” — they automatically get a follow-up template.

It paces itself

Weflux sends steadily (about 20 messages a second) to protect your number — you don’t set a rate. It also guards against accidental double-sends.

An automation is a little flowchart: something happens (a trigger), then Weflux runs a series of steps — send a message, ask a question, branch on the answer, hand off to an agent. The Automation section lists them all. Basic plan & up

“Keyword auto-reply” = an automation

There’s no separate bot builder. A keyword auto-reply is simply a Trigger with keywords (like “hi, price”) wired to a Send Message. Matching is case-insensitive and “contains” — “hi” matches “hi there”.

The Wait block only supports short delays (up to ~20 seconds) today. Longer scheduled delays are coming — use seconds for now.

Build it, test it, go live

Here’s the whole loop, from blank canvas to a live auto-reply, in a couple of minutes.

Add a Trigger

New Automation opens with a Start trigger. Click it, set keywords (e.g. hi, hello), Apply.

Add a message

Click Text Buttons in the palette. Write Hi {{name}}, welcome! How can we help? and add up to 3 buttons.

Connect them

Drag from the trigger’s handle to the message block.

Test in the Simulator

Open the Simulator, type hi, and watch the reply fire — no real customers touched.

Activate

Click Activate. Now any inbound “hi” gets your welcome, automatically.

The Simulator is a safe sandbox

It role-plays the conversation inside the builder and highlights which block runs at each step. It sends nothing to real customers and makes no charges.

Draft vs. Active

Save Draft keeps a work-in-progress that won’t fire. Activate makes it live. Autosave quietly saves your edits every ~10 seconds so you never lose work.

Build a flow with ChatGPT

Short on time? The builder’s Import JSON dialog has a Copy AI prompt button. Paste it into ChatGPT, describe your flow in plain English, and paste the JSON it returns back into Weflux — the whole flow appears, auto-arranged. There are also six ready-made sample flows (Welcome + Menu, Lead Capture, FAQ Bot, Appointment Booking, Order Status, Feedback).

Mind the 24-hour window

Automations reply with free-form messages only inside the 24-hour window. To reach someone outside it, use a Template block. Start with one automation per trigger so they don’t overlap.

Give it a title, a due date & time, a priority, and assign it to a teammate.

Get reminded

A task is the to-do; adding a due date is what turns it into a timed reminder. No due date = it sits under “No due date” and never pings.

The permission handshake

You can’t cold-call on WhatsApp — the customer must have allowed calls from your business. If they haven’t, Weflux sends them a one-tap “allow calls” prompt. Once they accept, call again.

Connections

Add and manage your WhatsApp Business number(s) — the one-click and manual paths from Chapter 2 live here. Each number shows its Active status, quality rating, and daily limit, with a Sync button and a Calls On/Off toggle.

Canned Responses

Saved reply snippets you insert in any chat by typing /. Give each a shortcut (like /hello), a title, and the message — with {{name}} / {{phone}} placeholders that auto-fill. Perfect for FAQs and greetings; import a whole set from CSV.

These five panels shape how your data is organised and how incoming chats are handled.

Tags, Custom Attributes & Contact Stages

The three ways to organise contacts from Chapter 4 are all defined here:

  • Tags — create colour-coded labels (VIP, Urgent) to group and filter contacts.
  • Custom Attributes — extra profile fields (Company, Account size) with a type; they show in each contact’s Info panel.
  • Contact Stages — rename and recolour your funnel stages, and drag to reorder them.
About custom stages

You’re renaming and recolouring the seven built-in stages (New Lead → Unsubscribed) to your own words — not inventing brand-new ones. That keeps Contacts and the CRM in sync.

Auto-Assignment Rules

Automatically route new conversations to the right agent:

Keyword match
“If the first message contains pricing → assign to Priya.” Set a priority to control which rule wins.
Round-robin
Spread new chats evenly across the team, one after another.

Opt-out Keywords

Set words like STOP or UNSUBSCRIBE that instantly unsubscribe a contact when they text them — the compliance backbone from Chapter 1. Add an optional auto-reply that confirms the opt-out back to them.

Set these up early

Common ones — STOP, UNSUBSCRIBE, OPT OUT — protect your number’s reputation. A contact who opts out stops receiving all future campaigns.

Need something that isn’t here? Describe it and hit Send request — Weflux builds custom features on request and the team gets back to you.

Danger Zone

Permanently delete your account and all its data. You confirm by typing your email and password. If you’re the only Admin, the whole workspace goes too.

Billing lives in Meta, not here

There’s no billing tab — Meta charges you directly for messages. Your dashboard shows whether a Meta payment method is connected and links you out to manage it. Weflux adds ₹0 markup.

Glossary

Every term used in this guide, in plain English. When something on screen confuses you, it’s probably defined here.

24-hour window — The period after a customer’s last message during which you can send free-form replies. Once it closes, only approved templates get through.

Add-on — A module (CRM, Tasks, Calls, Migrate) switched on for your account by the Weflux team, separate from your plan tier.

API — A doorway that lets two pieces of software talk. The WhatsApp API is the doorway between Weflux and Meta’s WhatsApp network.

Approved template — A pre-written message Meta has reviewed and allowed. Only approved templates can start or re-open a conversation.

Assignment — The agent who “owns” a conversation. The first agent to reply is auto-assigned; anyone can reassign it.

Broadcast / Campaign — One approved template sent to many contacts at once.

BSP (Business Solution Provider) / Tech Provider — A Meta-approved company that hosts your WhatsApp API connection. Weflux is your BSP.

Canned response — A saved reply snippet inserted by typing / in a chat.

Category — A template’s type: Marketing, Utility, or Authentication. It sets the price and the sending rules.

Cloud API — Meta’s hosted version of the WhatsApp Business API that Weflux connects to.

Connection — A WhatsApp Business number linked to Weflux.

Contact — A person in your address book, identified by phone number.

CRM / Deal — Your sales pipeline. A deal is one opportunity with a value and a stage (Lead → Won/Lost).

Custom attribute (field) — An extra profile field you define (Company, Account size) shown on each contact.

Embedded Signup — Meta’s official pop-up where you log in and pick your number in one click. Weflux never sees your password.

Entitlements — The live list of what your account is allowed to use; upgrades apply within ~30 seconds.

Label — A chip attached to a single conversation (versus a tag, which attaches to the contact).

Lead journey — The timeline of every conversation a contact has ever had with you.

Lifecycle stage — Where a contact sits in your funnel: New Lead → Contacted → Qualified → Opportunity → Customer → Churned.

Messaging limit / tier — How many new people you can message in 24 hours. New numbers start at 250/day and scale up.

Opt-in / opt-out — Permission to message someone / their request to stop. Opted-out contacts are excluded from broadcasts.

Phone Number ID · WABA ID — Meta’s identifiers for your number and your WhatsApp Business Account. The one-click path fetches them for you.

Quality rating — Meta’s health score for your number (Green / Yellow / Red), based on how people react to your messages.

Reply flow — An automatic follow-up template that fires when someone replies to a specific campaign.

Session — Another name for an open 24-hour window with a customer.

Tag — A reusable, colour-coded label on a contact (VIP, Urgent). A contact can hold many.

Template — See Approved template. Holds variables like {{1}} filled at send time.

Variable {{n}} — A numbered blank in a template filled with real data (name, order number) when you send.

Webhook — An instant “something happened” push — Meta uses one to deliver replies to your inbox; your store uses one to fire order updates.
